This Refund & Cancellation Policy ("Policy") explains the procedures, timeframes, and financial consequences when a booking made with Tripmeant ("we," "us," "our") is cancelled or significantly modified. Custom travel involves hard commitments to airlines, hotels, clinics, and guides - many of which are non-refundable the moment they are paid. This Policy is designed to be transparent, fair, and as flexible as commercially possible. This Policy forms an integral part of our Terms & Conditions. Capitalised terms used but not defined here have the meaning given in the Terms & Conditions. In the event of any inconsistency between this Policy and the Terms & Conditions, the Terms & Conditions shall prevail.

1. Your Right to a "Cooling-Off" Period

1.1 Standard 24-Hour Window If you book a journey more than 45 days before departure, you have a 24-hour grace period from the moment we issue your booking confirmation. During this window you may cancel for any reason and receive a full refund of your deposit, minus a 3% payment-processing fee (charged by Stripe and not recoverable by us).

1.2 EU/UK Statutory 14-Day Right of Withdrawal (Distance Selling) If you are a consumer resident in the European Union or the United Kingdom and you booked entirely online or by phone (a "distance contract"), you may be entitled to a 14-day right of withdrawal under consumer law. This right begins the day after we confirm your booking. However, you expressly acknowledge that by requesting us to begin performance immediately - by confirming suppliers and committing funds on your behalf - your right to withdraw is excluded for customised travel services. Where the 14-day right does apply (for example, a simple hotel-only booking not part of a bespoke package), we will inform you and honour the full statutory refund.

1.3 Late Bookings The 24-hour window and any statutory withdrawal right do not apply to bookings made within 45 days of departure, as immediate payment and supplier commitment are required.

2. Cancellation by You - Standard Scale

If you cancel a confirmed booking after any applicable cooling-off window has closed, the following sliding scale applies. All percentages are calculated on the total booking price (including deposit) and refer to the amount retained by us. The date of cancellation is the date we receive your written notice at discover@tripmeant.com.

Important: Any third-party costs that are non-refundable at the time of your cancellation (e.g., pre-purchased permits, non-refundable hotel nights, or clinic down-payments) will be passed on to you in full and may exceed the scale above. We will always provide you with a detailed breakdown of these unavoidable charges before finalising the refund calculation.

3. Non-Refundable Items (Always)

Regardless of when you cancel, the following are non-refundable because they represent sums irrevocably paid to third parties or expenses incurred specifically for your booking:

Government visa application and consular fees

Airline tickets, trekking permits, national park entry passes, and event tickets once issued

Medical or wellness procedure deposits paid to the clinic to secure the surgeon's schedule

Payment-processing fees (3% of the refunded amount, retained by Stripe)

Tripmeant planning fees, where charged separately as a non-refundable service fee for complex itinerary design (clearly stated on your invoice if applicable)

4. Medical & Wellness Tourism Packages - Special Conditions

Medical & Wellness packages involve a clinic deposit payable at confirmation to lock in the treatment date. The following rules overlay the standard scale:

The clinic deposit is non-refundable once paid to the medical provider.

Hotel, transfer, and recovery-stay components are refundable according to Section 2 above.

If you cancel for documented medical reasons (a letter from a licensed physician confirming you are unfit to travel or undergo the procedure) more than 14 days before treatment, we will: advocate with the clinic for the maximum refund their policy allows; and waive the 3% payment-processing pass-through on any amount recovered.

If you cancel within 14 days of treatment, the full 100% scale applies to the entire package cost, including the clinic deposit.

5. Adventure Tourism Packages - Special Conditions

Adventure packages in remote regions (e.g., Hunza, Skardu, Silk Road, off-grid Indonesia) depend on advance payments to small local operators who cannot easily re-sell their services. The standard cancellation scale in Section 2 applies, with these clarifications:

Trekking permits issued by national park or government authorities are non-refundable once secured.

Domestic flights or chartered transport booked specifically for your dates are subject to the airline's own fare rules and may offer zero refund.

Any gear or equipment pre-positioned for your group (e.g., tents, oxygen cylinders) that cannot be re-deployed will be charged at cost.

6. Cancellation by Us

6.1 Cancellation Within Our Control (Non-Force Majeure) If we cancel your booking for reasons within our reasonable control (other than your non-payment or breach), you are entitled to choose:

A full refund of all monies paid, or

A credit of the amount paid, valid for 18 months toward any future Tripmeant journey of equal or higher value.

6.2 Cancellation Due to Force Majeure Force Majeure (as fully defined in our Terms & Conditions) includes war, civil unrest, government action, border closures, pandemics, severe weather, natural disasters, and Supplier insolvency. In such cases:

We will use reasonable efforts to recover as much as possible from Suppliers.

We will refund all recoverable monies to you.

Any non-recoverable Supplier costs remain your responsibility (this is a key reason we mandate comprehensive travel insurance).

We will provide you with a transparent statement of what was recovered, what was not, and what we have refunded.

7. Modifications to Your Itinerary (Changes, Not Cancellations)

Requests to change travel dates, destinations, accommodation, or the number of travellers after confirmation are treated as modifications, not cancellations. Where we can accommodate a change, you will be liable for:

Any Supplier-imposed amendment fees and price differences;

An administrative fee of USD 75 per change.

If the requested change cannot be accommodated and you choose to cancel, the standard cancellation scale in Section 2 will apply, calculated from the original departure date.

8. Refund Process & Timeline

Notify Us: Submit your cancellation or refund request in writing to discover@tripmeant.com. The effective cancellation date is the date we receive your written request (not the date of any prior verbal discussion).

Confirmation: Within 5 business days, we will acknowledge your cancellation and provide a detailed calculation of any refund due, including a breakdown of supplier-retained amounts and our fees.

Approval & Processing: Once you confirm the calculation, the refund is processed within 14 business days back to the original payment method via Stripe or bank transfer.

Card Issuer Delay: Depending on your card issuer and country, funds may take an additional 5-10 business days to appear in your account. We are not responsible for banking delays.

9. Travel Insurance - Your Responsibility

We cannot overstate this: comprehensive travel insurance is the only protection against most reasons for cancellation. This Policy does not cover cancellations due to:

Illness, injury, or death of you, a travelling companion, or an immediate family member

Work obligations, jury service, or unexpected exams

Flight delays, missed connections, or lost travel documents

Natural disaster at your home or a declared state of emergency

These risks - and all Force Majeure events - are typically covered by a good "cancel for any reason" or standard trip-cancellation policy. You must file a claim directly with your insurer. We will provide any supporting documentation you need. For Adventure and Medical & Wellness packages, travel insurance is compulsory.

10. Chargebacks & Disputes

If you have a billing question or wish to dispute a charge, please contact us first at discover@tripmeant.com. We are committed to resolving issues quickly and fairly. Initiating a chargeback with your bank or card issuer without first contacting us may extend the resolution process substantially, may trigger additional fees passed on by Stripe, and may constitute a breach of contract if the chargeback is unwarranted. We fully cooperate in all legitimate disputes and will provide your card issuer with documentation of our cancellation policies and your agreement.

11. Statutory Rights

Nothing in this Policy is intended to limit or exclude any statutory consumer rights you may have under the laws of your country of residence that cannot be waived by contract. For example:

United Kingdom: Your rights under the Consumer Rights Act 2015 and the Package Travel and Linked Travel Arrangements Regulations 2018.

European Union: Your rights under Directive (EU) 2015/2302 on package travel and linked travel arrangements, as implemented in your member state, and under Directive 2011/83/EU on consumer rights.

United States: Where state-specific travel seller laws provide a statutory right to cancel, we will honour those requirements.

If there is a conflict between this Policy and any mandatory consumer law that applies to you, the mandatory law shall prevail.
